A look into Findlater Attorneys Journey with DocFox

Prior to DocFox, Findlater Attorneys were only collecting copies of clients' IDs and proof of residence. This is a common misconception when it comes to FICA compliance - Accountable Institutions often think their only obligation is to collect IDs and Proof of residence. Findlater Attorneys were aware that they needed to meet their obligation in terms of compliance and engaged with DocFox to assist with the various verifications and guidance to ensure they are always compliant. Kate Swann of Findlater Attorneys adds that “DocFox has been a great, great help for us, because now we know what we actually need to be FICA compliant and DocFox takes a lot of pressure off me in terms of verification”.

How have you experienced the implementation / onboarding process of DocFox?

The only slight challenge we had was to get all our clients on to the system, which DocFox helped us a lot with, after that it was to get the clients to understand why we needed so many documents from them. Now that we’ve incorporated asking for the documents upfront as part of our onboarding process it makes life a lot easier.

 

Now that you are using DocFox, what does your process of taking on a client look like?

The first thing we do is explain to them about our hourly rate and make sure that they are happy with that. We then give them our mandate which is our fee structure and send them the FICA forms that we need. If they are happy to proceed I also then ask them to send me their supporting documents depending on if it’s a person or a company and then from there we book the consultation and load them onto DocFox, but I always make sure that those documents are provided first. It is standard procedure for me now for any client who makes payment to our offices that we FICA them on the system and ensure that all is up to date so that we are always prepared should we ever be audited.

 

What feature within DocFox makes your life easier?

Using features such as DocFoxs’ bank account verification module really makes life easier as it is another form of verification. Also being able to do things virtually where possible, is a lot better for me.

Have you gone through a FIC inspection?

At this point we haven’t gone through a FIC inspection, but we are prepared for it since we are using DocFox.

 

Do you have any advice for other Law firms with regards to FICA Compliance?

They should all get DocFox, because FICA is a lot of work, especially if you don’t have something like this that helps you with verification, screening and banking details as well as the constant changes implemented by FIC. The assistance of DocFox eases our anxiety in respect of compliance and we know that we always have someone who can guide us accordingly.
